Good news! After working with eJP support to streamline the reviewer invitation process, the auto-contacting of potential reviewers has been implemented on JHI’s peer review site.
Here is a brief outline of the timing and workings of the auto-contacting of potential reviewers.
1. Once you assign a list of potential reviewers and click 'Done/Finished' the first 4 potential reviewers will be automatically emailed.
2. 2 days later any unresponsive users will be sent a second email.
3. 1 day later they will be sent a third and final email.
4. 1 day after this they will be marked as ‘No Response’.
5. As users decline or do not respond, the system will continue to auto contact potential reviewers in sequential order. It will keep the number of accepted and contacted potential reviewers equal to the desired number of reviewers to secure.
6. If the list is exhausted and more potential reviewers are needed, the system will auto contact the AE and move the paper back to the ‘Assign Potential Reviewers’ stage.
A few notes:
The auto-contacting script will take over any papers that were already in the reviewer invitation process (aka when this auto-contacting feature is enabled on June 3rd, 2025 AE's should be able to expect the system to take over in-process papers.)
As of last week we refined the JHI reviewer selection process as there had been a bug when trying to edit letters to potential reviewers. There is now a new column “Comments to Potential Reviewer”. Adding notes to this column will add a personal note above the official invitation text in the email. You can add any text you’d like in this field and can use a personal salutation if desired. Any added notes will apply to the current round of invites and can be added at the same time for those invites that are queued in case of declines. After the notes are added for each potential reviewer, you can bulk send to all invitees. Please see attached screenshot and let me know if you have any questions.
